Evaluate Submittable with your own requirements

Submittable is neither automatically “enterprise overkill” nor automatically the right default. It is a broad application-management platform. Whether that breadth helps depends on the work your organization is responsible for.

Program scope

• Do you manage grants, scholarships, residencies, publications, or corporate programs alongside art calls?
• Must the same review system serve several departments with different forms and permissions?
• Is the call complete after the decision, or does selected artwork continue into exhibition, condition, label, sale, and payout records?

Review governance

Ask for a demonstration of multi-stage review, anonymous fields, assignments, scoring, reviewer permissions, recusal, overrides, and audit evidence. Use a realistic conflict and a changed decision rather than a clean demo record.

Commercial terms

Submittable's public platform pricing is quote-based. Do not use an uncited monthly estimate. Request a quote that identifies included programs, submission volume, reviewers, administrators, implementation, support, paid-form charges, renewal terms, export access, and termination assistance.

Data portability

List every object that must leave the system: form definitions, submissions, attachments, original media, scores, reviewer assignments, decisions, messages, payments, refunds, and audit events. Ask for a sample export before signing, not only at termination.

Gallery operations

Decide whether exhibitions, websites, commerce, memberships, events, rentals, campaigns, and reporting belong in the same platform. A broad application tool can be a good system of record for intake while specialized gallery tools handle the rest. That architecture is valid if ownership and synchronization are explicit.

Score each requirement as required, valuable, or unnecessary. Record whether it is native, configured, integrated, manual, or unavailable, and name the plan or permission required.
